Unit Leaders & Scoutmasters

Welcome to the Unit Leaders section. Whether you lead a troop, crew, pack, or post, these guides walk you through the day-to-day work of running your unit in MySummitKeep — starting with your roster and the people in it.

The hub of all of this is the Members page. From there you can search and filter your whole roster, switch between a table and a card view, invite new people, and jump into bulk tools.

Members directory

Search, filter, and open every person in your unit. Toggle between table and card views. See Managing Members.

Invitations

Send single invites, bulk-invite from a list, and track who hasn’t accepted yet. See Bulk Invite.

Households

Group parents and Scouts into families for shared contact info and billing. See Households.

Attendance

Take attendance at meetings and outings and track participation over time. See Attendance.

Import & export

Bring your roster in from ScoutBook or a council CSV, and export it back out. See Member Import.

The Members page (top of the sidebar) is where you’ll spend most of your roster time. A few things to know:

  • Search and filters — Search by name, email, or phone, then narrow by role (Admin, Parent, Scout) and status (Active Only, Inactive Only, or All Members). The result count updates as you filter.
  • Two views — Use the Table / Cards toggle in the top right to switch how the roster is displayed. Both views let you click a person to open their profile.
  • Pending invitations — If you’ve invited people who haven’t joined yet, they appear in a collapsible Pending Invitations panel at the top, where you can resend or cancel each one.

  • Bulk Operations — apply changes to many members at once (Members → Bulk Operations).
  • Member Transfers — review and approve members moving in or out of your unit (Members → Transfers).
  • Member Import — pull your roster in from ScoutBook, Internet Advancement, or a council CSV.

Once your people are in the system, group them the way your program runs:

  • Patrols, Dens & Divisions — the same tool powers patrols (troops), dens (packs), and divisions/crews. Create groups, assign Scouts, and set leadership.
  • Patrol Boxes — track shared gear and equipment assigned to each patrol or group.
  • Households — link parents and their Scouts into a single family record so contact details and billing stay together.
  • Attendance — record who showed up at meetings, campouts, and other events, and review participation trends across the year.
