Scoutmaster Notes
Scoutmaster Notes is a private journal for the Scoutmaster: meeting minutes, observations about a scout’s welfare or progress, reminders for the next conference. The page describes itself as “Confidential notes and meeting minutes. Visible only to the Scoutmaster.” Open it at /scoutmaster-notes. It is available on every plan, including Basecamp.
Find it in the left menu: People → Scoutmaster Notes.

Who can read and write notes
Section titled “Who can read and write notes”Notes are limited to the unit’s Scoutmaster tier, which in MySummitKeep means the unit administrator access level. This is enforced on the server for every read and every write, not only by hiding the menu item, so other leaders, parents and scouts cannot list, open or change a note even by going to the address directly.
Notes belong to your unit and are never visible to another unit. The text of a note is stored encrypted.
The note list
Section titled “The note list”Each note is a card showing the title, the date it was created, the linked scout if there is one, and the note text. The list can be narrowed with four filters at the top:
- Scout, with All scouts as the default
- From and To dates
- Search, which matches the Title or body
With no matches the page says No notes yet.
Creating, editing and deleting
Section titled “Creating, editing and deleting”Click New Note. The dialog has:
- Title
- Note, the body text
- Linked scout (optional), to file the note against a particular scout so it appears when you filter by that scout
Click Create. To change a note use the pencil (Edit) icon, which opens Edit Note with a Save button. The trash can (Delete) asks you to confirm in a Delete Note dialog and then removes the note, with a Note deleted confirmation.
